Volunteer Agreement
Thank you for being apart of Shima Ibuki’s team! This is our volunteer code which governs our relationship with you as a volunteer.
Shima Ibuki and Shima Ibuki Pty Ltd (“we”), want to ensure that you have a rewarding, enjoyable and positive experience as a volunteer.
This Volunteer Agreement outlines our mutual commitments and expected standards of behaviour. Please note that this Agreement does not create an employment or contractor relationship, and it may be cancelled at any time by either party.
Our Commitment to You
We value and appreciate the time, energy, and skills of our volunteers. We will endeavour to provide:
- Orientation and any training necessary for your volunteer role
- A safe and respectful environment in which to volunteer; and pathways should you need support in your volunteer role
- Respect for your privacy, including protection of your personal information
- Insurance coverage for the volunteer duties you are authorised to perform
Your commitment as a volunteer
By volunteering with us, you acknowledge that:
- Your work is entirely voluntary
- You will not receive payment or remuneration for your volunteer efforts
We ask that you:
- Be your best self: positive, respectful, and acting in the best interests of Shima Ibuki, her staff and the Hawthorn community
- Treat everyone — fellow volunteers, members of the community (including those you may disagree with), and the spaces we work in — with generosity, inclusivity, and respect
As part of your volunteer responsibilities, we require that you:
- Participate in any necessary induction and training
- Only undertake duties that you are authorised and directed to perform
- Follow reasonable instructions and directions
- Use any provided equipment safely and only for authorised volunteer purposes; return equipment when you are finished using it
- Not be under the influence of drugs or alcohol while volunteering
- Comply with the law at all times
- Maintain strict confidentiality of any personal or private information you come across, handling it only as directed by us
- Direct any media requests to the staff of the campaign

Health and Safety
The safety and wellbeing of our volunteers and community is a top priority.
As a volunteer, you agree to:
- Take reasonable care of your own health and safety
- Take reasonable care to protect the safety of others
- Follow any reasonable instructions we provide
- Report any health and safety concerns, incidents, or potentially hazardous situations to a team leader
- Inform us of any personal safety or fitness concerns related to your volunteer work
- Cooperate with our health and safety policies and procedures
Insurance
We maintain Volunteer Insurance for all authorised volunteers under 90 years of age. This insurance covers you while you’re undertaking approved duties for us
Please not, insurance coverage may not apply in situations including (but not limited to):
- Activities outside the scope of your authorised role
- Criminal activity or charges (including related to driving)
- Reckless or dishonest behaviour
- Incidents involving self-inflicted injury, alcohol or drugs, pre-existing conditions, mental illness, pregnancy or childbirth

Privacy and Confidentiality
As a volunteer, you may come across private or sensitive information such as:
- Electoral Roll data
- Personal information of volunteers or supporters
- Campaign strategy or internal planning
You agree to:
- Use such information only for your volunteer duties
- Not disclose or share this information with others
- Not make or retain copies unless authorised
- Store and handle information securely, ensuring it remains confidential, even from other volunteers unless they need it for their role
Photos
If you do not want photographs of you used in our materials or social media, please notify our team by emailing [email protected]. Otherwise, images taken during campaign-related activities may be used by us for promotional, community engagement, or social media purposes.
Materials Developed by You
If, as part of your volunteering, you develop or contribute any content or material (e.g. written content, designs, communications), you agree to:
- Allow us to use that material freely, including transferring or licensing any related intellectual property rights
- Not assert or bring any claim for infringement of any moral rights over how the material is used
